Migrating content and associated metadata from content management systems is a tedious undertaking that requires having to process high volume of information efficiently. Without the proper content migration and processing tool, customers are faced with a number of challenges:

  • Content management applications are complex and the source and destination processes are typically not equivalent. This often leads to unanticipated functional differences and challenging post migration support issues. Customers need to ensure specific business rules are applied when migrating from one system to another
  • Data quality - Just understanding that data quality in the source system misses an important point: data quality needs to be tested against the requirements of the destination system. This is always a significant testing challenge
  • Since there are typically significant functional and process differences between the source and destination applications, creating the data mappings between the two systems is not a straight forward field-to-field mapping
  • Testing needs to confirm that all documents have been migrated without change
  • Decrease time and track migration progress making sure documents are properly migrated in a timely fashion without affecting production systems
  • Reducing costs- Exception handling takes significant time if the customer is not equipped with the right migration tool that has provisions for re-processing and recovering from partial and failed migrations.

Intelligent Content Migration:
DocRobot is an easy-to-use, easy-to-configure solution that will substantially cut down the time and cost of doing content migrations and help eliminate some of the major risks and challenges associated with content migrations.
DocRobot was originally designed as an in-house tool and has evolved to include out-of-the-box user-configurable features including an intuitive Graphical User interface that customers can utilize to perform migrations on their own. The tool is designed to help client carry-out their migration plan during various phases. It has provisions for partitioning the migration activities into discrete tasks that can quickly be configured and performed in a few days. During each step, an audit report will provide detailed information about the activities completed successfully as well any exceptions encountered. Using the special “introspection mode”, the client can perform quick validation and perform dry-runs before carrying out the actual migration. Migration jobs can be carried out in sequence or parallel during specified time intervals or on-demand. Special provisions for “re-processing” allow clients to re-run any partially completed or failed jobs in order to recover the missing documents after the proper corrections are made. Also, the tool provides features for re-running a job to pick-up content that was added since last time the migration activities were carried out.
At the core of DocRobot is the Processing Engine. This is the major component which other integration modules interface with. The integration modules are designed to be plug-n-play for various destination systems. The processing engine includes customizable and configurable features to support individual business rules and client needs for document format conversion, re-indexing, re-classification, renditions, etc.
DocRobot is designed to be a platform agnostic and flexible solution that can be used to carry-out document transfer and processing amongst various systems.

DocRobot will prove to be a very cost-effective solution that will help reduce the time; cost and risk associated with document migration projects. It has been proven at many customer sites running large production systems.
Realizing the flexibility and extensibility of the product for document processing, clients are using the DocRobot not only for migrations, but also as a flexible utility to carry out any document-related background processing jobs. 1. Synchronizing FileNet eForm Content with external data sources for Payment Processing Application:
A large utility company extracting metadata from eForm documents and updating an Oracle Financial System with corresponding information

2. Conversion of Reports from Report Manager and export to PeopleSoft HR:
A leading Higher Education client is using Document.Robot to extract Reports from FileNet Report Manager and convert them to PDF document which are then exported to PeopleSoft HR application.

3. Generation and publishing of Content Ingestion Reports:
An international BPO utilized DocRobot to gather and publish daily content activity reports from their existing FileNet Imaging System to their clients.
