Enterprise Access to Employee Records

As one of the leaders in the Professional Staffing and Consulting Services business, having hundreds of branches poses major challenges in managing employee records.

Incoming faxes, paper documents and electronic attachments are all sources of content to individual offices.

All information is to stay secure and remain confidential. At the same time, the global internal teams must be able to quickly and easily get secure access to content they need to do their jobs.

The client needed an enterprise solution for managing all the paper and electronic documents processes that took its staff away from revenue generating activities. The entire business was to be in scope. The project consisted of two phases for delivery. The documents were be stored into a FileNet P8 system and retrieved using a web portal. Simple to use search templates were created to enable users to access the content by the security roles identified. The solution provided internal staff with a simple and user-friendly interface globally enabling:

  • Branch offices to fax or scan completed applicant packages
  • Application information and interviewer comments entered in real-time
  • All content was stored in secure repository with full disaster recovery protection
  • Validation tables from internal systems were used to ensure accuracy of data

As expected, the client was able to recover thousands of hours of administrative time and shift the resources to more revenue generating activities. The ROI and delivery time exceeded management expectation. Going forward, business plans on leveraging the IBM Enterprise Content Management system to enable secure management and processing of more types of employee information.
